Applicant responsibilities and declarations

This page sets out your responsibilities when applying for tertiary study through UAC plus the declarations that apply to each UAC application.

Your responsibilities as an applicant

When you apply through UAC, you have certain responsibilities.

By meeting your responsibilities you'll ensure that your application will be processed and assessed as soon as possible.

You must:

  • read all instructions within the application, and on relevant pages of the UAC website, before submitting your application
  • follow any institution-specific instructions
  • provide true and complete information
  • provide true and complete PDFs of official documentation in English when requested (or official English translations if originals are not in English)
  • not upload documents such as driver licences, passports, visas and other sensitive documents unless specifically requested by UAC
  • not post or deliver hardcopies of documents to UAC.

If you fail to meet your responsibilities

UAC may cancel your application and/or institutions may withdraw any place offered if at any stage you have submitted an application that contains information that UAC or a participating institution determines to be untrue or incomplete. Policy statement on untrue or incomplete information submitted by applicants

UAC recognises that all decisions which affect an applicant must be made fairly using appropriate academic or other criteria as specified by the participating institutions.

Selection into courses by application to UAC is based on merit. It is the responsibility of applicants to ensure that they comply with all instructions when submitting a UAC application. The responsibilities of applicants are set out above.

An application must be complete and correct and all attempts at academic study must be disclosed.

Applicants must accept the conditions set out in the declaration and authority when they apply.

UAC will review, and may take action against, anyone who submits an application that contains information that UAC or a participating institution determines to be untrue or incomplete. That application may also be cancelled.

UAC will also investigate, and may take action against, an applicant who, by any other means, has or could have achieved an advantage over other applicants.

Examples of conduct by an applicant which will be investigated by UAC include, but are not limited to:

  • submitting an incomplete or falsified academic transcript
  • failing to declare previous study at secondary, post-secondary or tertiary level
  • submitting an incorrect or otherwise misleading statement of employment experience
  • claiming special consideration of educational disadvantage based on incorrect information
  • having some other person complete a selection task on the applicant's behalf such as an interview, audition or a portfolio of work
  • claiming membership of a special selection group when not a member of that group.

The procedures for processing applications suspected of being in some way incomplete or untrue have been approved by the NSW Vice-Chancellors' Committee.

These procedures accept the right of applicants to be treated fairly and without prejudice, and in accordance with the principles of natural justice.

To have this application for undergraduate study considered by UAC and the participating institutions, you (or the person you have authorised to act on your behalf) must read and accept the following conditions:

1. You must:

  • read all instructions within the application, and on relevant pages of the UAC website, before submitting your application
  • follow any institution-specific instructions
  • provide true and complete information (for information about UAC’s procedures for processing applications suspected of being untrue or incomplete, read Applicant responsibilities)
  • provide true and complete PDFs of official documentation in English when requested (or official English translations if originals are not in English)
  • not upload documents such as driver licences, passports, visas and other sensitive documents unless specifically requested by UAC
  • not post or deliver hardcopies of documents to UAC.

2. You consent to UAC's Privacy Policy.

3. You declare that all the information submitted is true and complete and understand that UAC and the participating institutions have the right to vary or cancel an application or enrolment if they determine it to be untrue or incomplete.

4. You authorise UAC and the participating institutions to verify any information provided by you and to obtain, where relevant, your:

  • official records from any Australian or international educational institution attended by you
  • English language proficiency test results
  • records of registrations with professional accrediting authorities.

Note that UAC is not responsible if an institution or authority does not provide these records or results.

5. You understand that UAC and the participating institutions may check your visa and residency status using Visa Entitlement Verification Online (VEVO), and you authorise UAC and the participating institutions to do so.

6. You authorise UAC to use any information provided or obtained in connection with this application, and to disclose such information to all participating institutions, Universities Australia and its member institutions, the members of the Australasian Conference of Tertiary Admissions Centres (ACTAC), the Tertiary Education Quality and Standards Authority (TEQSA), the Australian Skills Quality Authority (ASQA), state and territory governments and any other authority or tertiary educational institution, either in Australia or overseas, where UAC reasonably considers it is necessary to make such disclosure for any purpose connected with your possible selection, admission and/or enrolment in any course at any of those institutions.

7. You consent to UAC or the participating institution disclosing personal information in this application to the Commonwealth Government Department of Education, or its successor, for the purpose of:

  • use in connection with the Tertiary Collection of Student Information (TCSI)
  • use in connection with the National Data Collection on University Applications and Offers
  • other uses as the Commonwealth Government Department of Education, or its successor, may lawfully require from time to time.

8. You understand that any offer for enrolment at a participating institution is conditional upon accepting the policies, terms and conditions of that institution, including those concerned with academic integrity.

9. You agree that UAC may store and use your personal and sensitive information to assess future applications that you may make through UAC.

10. You agree that participating institutions which you preference will be provided with your personal information and you agree that those institutions may use that information to:

  • determine whether to make you an offer
  • undertake research subject to their privacy and ethics policies.

 

Responsible use of de-identified data

UAC is committed to protecting your privacy. Sometimes we may use de-identified information to maintain or improve our services and to contribute to research:

  • De-identified information provided with and/or obtained in connection with this application may be used for training and research purposes.
  • UAC may use results from future studies undertaken as a result of this application for research purposes.

If you do not agree to your de-identified information being used for training and research purposes, please notify UAC.

To have this application for undergraduate study considered by UAC and the participating institutions, you (or the person you have authorised to act on your behalf) must read and accept the following conditions:

If you do not agree to your de-identified information being used for training and research purposes, please notify UAC.

To have this application for postgraduate study considered by UAC and the participating institutions, you (or the person you have authorised to act on your behalf) must read and accept the following conditions:

1. You must:

  • read all instructions within the application, and on relevant pages of the UAC website, before submitting your application
  • follow any institution-specific instructions
  • provide true and complete information (for information about UAC’s procedures for processing applications suspected of being untrue or incomplete, read 'Applicant responsibilities' above)
  • provide true and complete PDFs of official documentation in English when requested (or official English translations if originals are not in English)
  • not upload documents such as driver licences, passports, visas and other sensitive documents unless specifically requested by UAC
  • not post or deliver hardcopies of documents to UAC.

Use of Centrelink Confirmation eServices

UAC may use:

  • Centrelink Confirmation eServices to perform a Centrelink enquiry of your Centrelink Customer details and concession card status in order to determine if you qualify for Equity Scholarships
  • Services Australia to provide the results of that enquiry to UAC.

Services Australia will disclose personal information to UAC, including your name, address, concession card status, payment type, payment status, one-off payment, income, assets, deductions, shared care arrangements, partner status and Youth Allowance Independence rate, to confirm your eligibility for relevant Equity Scholarships.

If you do not agree to UAC performing a Centrelink enquiry, please notify UAC.

If you notify UAC that you do not agree to us performing a Centrelink enquiry, you have the option to obtain proof of your circumstances/details from Services Australia and upload it to your Equity Scholarships application. If no proof is uploaded you may not be eligible for Equity Scholarships provided through UAC.

Use of Centrelink Confirmation eServices

UAC may use:

  • Centrelink Confirmation eServices to perform a Centrelink enquiry of your Centrelink Customer details and concession card status in order to determine if you qualify for Equity Scholarships
  • Services Australia to provide the results of that enquiry to UAC.

Services Australia will disclose personal information to UAC, including your name, address, concession card status, payment type, payment status, one-off payment, income, assets, deductions, shared care arrangements, partner status and Youth Allowance Independence rate, to confirm your eligibility for the Educational Access Scheme.

If you do not agree to UAC performing a Centrelink enquiry, please notify UAC.

If you notify UAC that you do not agree to us performing a Centrelink enquiry, you have the option to obtain proof of your circumstances/details from Services Australia and upload it to your Educational Access Scheme application. If no proof is uploaded you may not be eligible for the Educational Access Scheme provided through UAC.

You understand that the Qualifications Assessment Statement issued to you is based on the information available to UAC as at the date of assessment and that the actual assessment of your qualification/s in any future application is subject to change of confidential common assessment procedures and guidelines approved by UAC's participating institutions.

4. You understand that UAC may decline to assess your qualification/s if information required for a valid assessment is not available to UAC.

5. You understand that your Qualifications Assessment Statement is not an application for study. It provides an indication of whether or not you are likely to be eligible for further study. However, institutions:

  • do not have to accept UAC's assessment
  • may look at qualifications other than those that have been assessed for this statement
  • may use a wide range of selection criteria, in addition to your qualifications.

6. You authorise UAC and the participating institutions to verify any information provided, including obtaining available official records from any educational institution attended by you. Note that UAC is not responsible if an institution does not provide these records.

7. You authorise UAC to disclose information from this application to participating institutions where it is connected with your possible selection, admission and/or enrolment in any course at any of those institutions.

8. You understand that any offer for enrolment at a participating institution is conditional upon accepting the policies, terms and conditions of that institution, including those concerned with academic integrity.

Responsible use of de-identified data

UAC is committed to protecting your privacy. Sometimes we may use de-identified information provided with and/or obtained in connection with this application for training and research purposes.

If you do not agree to your de-identified information being used for training and research purposes, please notify UAC.
